A connected operating workflow should make it easier to follow a part from its source record to its location, listing, order, dispatch and financial review. The aim is not to put every task into one screen. It is to keep the identifiers and evidence needed at each stage connected.

1. Begin with a source record

For dismantled stock, start with the donor vehicle and the job that produced the part. For new, genuine OEM or obsolete stock, retain the supplier reference, manufacturer part number and purchase evidence. Record condition, photographs and compatibility evidence separately: a QR or SKU identifies your record, but it does not prove that a part fits a particular vehicle.

The vehicle and parts records workflow guide gives a practical checklist for identity, condition evidence and exceptions.

2. Give each physical part a stable identity

Use a consistent internal SKU or QR-linked record and attach it to the item or its container. The record should show the current warehouse location, quantity and status. When a part moves between the dismantling bay, photography area, shelf and packing bench, update the location or status so the next person can find it.

For vehicle-based work, the dismantling workflow overview explains how job and item statuses can keep work visible to the team.

3. Prepare the catalogue before publishing

A useful listing record normally needs a clear title, part number where available, honest condition, images, quantity and evidenced compatibility. Rare or single-quantity stock needs especially careful quantity control: selling the same item twice creates avoidable cancellations and customer service work.

Prime can connect an eligible eBay catalogue to Marketplace after signup. Another catalogue or sales system needs review before it is treated as supported. The exact data brought across, external-channel features and any ongoing workflow are confirmed during onboarding; do not assume instant synchronisation or universal integration.

4. Keep the order connected to fulfilment evidence

Once an order arrives, retain the sold item, buyer order and dispatch information together. Confirm the picked identity, packing requirements and courier tracking before marking the work complete. If you dispatch your own stock, keep the tracking record current. If you use Prime Fulfilment, receiving, storage, picking, packing and dispatch are separately agreed services.

For Marketplace orders, seller funds are released after courier tracking confirms delivery. The seller fees and payout guide explains the current sales charges without promising a bank-settlement time.

5. Preserve the trail after the sale

Returns, refunds, cancelled listings, scrap and other exceptions should update the operational record and the relevant financial record. Keep estimates, recorded sales, fees, costs and cash received distinct. This makes later vehicle, stock and order reviews easier to understand without turning an estimate into a profit claim.

6. Confirm the boundary before setup

Map the systems and hand-offs you already use: catalogue source, sales channels, stock locations, courier process, accounting output and the person responsible for exceptions. Prime will confirm the features, supported channels, data preparation and setup available for your operation. Messaging, offers and specialist external workflows should only be treated as included when confirmed.

Choose the services that match the work

  • Prime Marketplace: add a sales channel while retaining and dispatching your own stock.
  • Prime Fulfilment: select agreed receiving, storage, picking, packing and dispatch services.
  • Prime Yard: manage vehicle, dismantling, stock, order, return and recorded-cost workflows in software.

Services can be selected separately or combined. A change in your operation may need additional setup or integration work, so agree the scope and charges before adding services.

Bring one real workflow to a demonstration

  • One representative vehicle, supplier catalogue or stock batch.
  • One part with its current identifier, condition evidence and location.
  • One listing or sales-channel question.
  • One order, dispatch, return or recorded-cost exception.

This gives the demonstration a practical path and lets the team confirm what is available for your setup.
